Assign an Order to a CSR

The ability to Assign Orders Requires Site Admin or Sales Admin Permissions.

Manually Assign an Order

  1. Select the "Orders" from the left-hand rail of the dashboard.
  2. Scroll down and find the row in the Orders table that displays the order you’d like to assign. Now, click the "Actions" drop-down menu button associated with the order.
  3. Then, click the "Edit" link inside the drop-down menu to display the order's details.

  4. Scroll down the page to the "Order Details (Online)" section, and click the "Assign To (sales rep)"  drop-down menu within this section. * From this drop-down menu, select the CSR’s name that you’d like to make responsible for this order.

  5. Save your order edits by clicking the blue “Save” button at the bottom of the order page.

Manually Reassign an Order

It's easy to clean up previous orders that are showing up incorrectly as a CSR's personal order rather than under a customer’s account. To do this, have your CSRs login to their dashboards, and take the following steps:

  1. Select the "Orders" from the left-hand rail of their dashboard.
  2. Scroll down and find the row in the Orders table that displays the order that you’d like to assign. Now, click the "Actions" drop-down menu button associated with the order.
  3. Then, click the "Edit" link inside the drop-down menu to display the order's details.

  4. Scroll down the page to the "Order Details (Online)" section, and click the "Assign To (sales rep)" drop-down menu within this section. * From this drop-down menu select the CSR’s name that you’d like to make responsible for this order.
  5. In the same "Order Details (Online)" section, click the "User Account" (backer record will appear on this user's dashboard) drop-down menu. Within this section this drop-down menu should currently show the CSR’s email address.

    From this drop-down menu, type in or select the customer's email address that applies to this order (change the email address from your CSR’s email address to the appropriate customer's address).

    6. Save your order edits by clicking the blue “Save” button at the bottom of the order page.

If the Customer Is Not Listed in the "User Account" Drop-Down Menu:

Since your CSRs completed these orders under their own CSR User Account, they may find that the Customer's User Account does not exist in the system (and if this is the case, they will not be able to associate an order with the correct customer).

To correct this situation you'll need to establish a new User Account, which can be done via the following steps:

  1. Log in to an Admin Dashboard.
  2. Scroll to the bottom of the page and click the "Users" link (in the left-hand rail of your dashboard).
  3. Click the green "New User" button in the upper right-hand corner of the table.

  4. On the following page visit the section of the page labeled "General" and fill in the necessary customer information.
    Important Note about Platform Security
    There is a second section on this page labeled "User Access." Your CSRs should never grant a customer any level of access in this section.
    The right-hand column of this section the should remain empty (an empty right-hand column implies that no additional access has been granted to the user).
  5. Now your CSRs can re-visit the Order Details (as described in the Manually Reassign an Order section above), and associate the order with the user account they have created.
